No show and Late Attendance Policy

At our clinic, we are committed to providing high quality care and service to all of our patients. To ensure that we can continue to meet the needs of all our patents, we have implemented a strict No Show and Late Attendance Policy, in line with Royal Australian College of General (RACGP) standards. This policy is designed to encourage timely cancellations, and to ensure our clinic operates smoothly.

Late Cancellation & No-Show Policy

Effective from July 1 2025

  • New patients registering from 1 July 2025 will be required to review and agree to this policy upon registration. Applicable fees will be charged from the first instance of a no show or late cancellation.
  • Existing patients registered before 1 July 2025 who had not previously been made aware of this policy will receive a notification only for their first no show or late cancellation (less than 24 hours’ notice). No fee will apply for this first occurrence. Standard fees will apply to subsequent instances.

A Late Cancellation Non Attendance fee will apply when:

  • You fail to attend your scheduled appointment.
  • You do not attempt to cancel via phone, voice message, email, or HotDoc.
  • If you cancel an appointment with less than 24 hours’ notice, the following fees apply
  • Standard appointment – $45.00
  • Double appointment – $85.00
  • Pre-Employment / Heavy Vehicle Medical – $137.50
  • Procedures – May be charged at the full procedure rate
  • Full Body Skin Checks – May be charged at the full rate

Frequent No Show/Late Cancellations

If you have had multiple no shows, or late cancellations, a fee will be applied without a grace opportunity on future instances.

Emergency Situations

We understand that emergencies can occur, and we are sympathetic to circumstances that may prevent you from attending your appointment or giving 24 hours’ notice. If this happens, we encourage you to contact the Practice Manager via email Jessica.bilal@villagemedical.com.au to discuss your situation.

How to Cancel or Reschedule an Appointment

  • You may cancel or reschedule your appointment via phone, email, voice message or HotDoc (if possible)
  • Please ensure that any cancellations or rescheduling are made at least 24 hours prior to your appointment to avoid incurring a fee.
